Manage the products and services you buy and sell.

Overview

Products and Services (referred to as Items in Beeswax) represent the things your business buys and sells. For service-based businesses, these typically represent hourly or daily rates. For product-based businesses, they represent the goods you sell.

Each item has a Sell amount (used on quotes and invoices) and a Buy amount (used on expenses). Both amounts can be overridden on individual documents, but the defaults save time and help maintain consistency in tax and account allocations.

Note: Beeswax does not include inventory management. Items are used for cost tracking and markup calculations, not stock levels.


How to Create an Item

  1. Navigate to Money > Items
  2. Click New Item
  3. Fill in the sidebar form:
Field Description
Title The name of the product or service
Details A longer description (appears on invoices and quotes)
Category Group items into categories for organisation
Unit The unit of measure (e.g. hours, days, each)
Buy / Sell Toggle whether this item is used for buying, selling, or both
Buy Cost The default cost when used on expenses
Sell Price The default price when used on invoices and quotes
Buy Account The chart of accounts entry for purchases
Sell Account The chart of accounts entry for sales
Tax Rate The default tax rate applied to this item
  1. Click Save

How to Edit an Item

  1. Navigate to Money > Items
  2. Click the item name or the pencil icon to open the sidebar editor
  3. Update the fields you need to change
  4. Click Save

Note: Editing an item updates its defaults for future use. It does not change line items on existing invoices or expenses.


How to Delete an Item

Items can only be deleted if they have not been used on any documents.

  • If the item has never been used, a trash icon appears — click it to delete
  • If the item has been used on an invoice, expense, or quote, the trash icon appears in red and deletion is blocked

Note: If you no longer need an item but it has been used on documents, consider renaming it or moving it to an inactive category rather than trying to delete it.
