Time Entries

Log time against tasks manually or with the built-in timer.

Overview

Time Entries record how long you or your team spend working on tasks and projects. Each entry captures a start time, end time, and optional notes, giving you visibility into where time is being spent.

Key characteristics:

  • Task-linked — Time entries can be attached to a specific task or logged against a project directly.
  • Billable tracking — Each entry can be marked as billable or non-billable, controlling what flows through to invoicing.
  • Product/Service rates — Entries can be linked to a transaction template (product or service) that defines the billing rate.
  • Timeline view — A visual timeline shows logged time across the day, colour-coded by team member.

Logging Time

Click Log Time from the time entries page or from within a task to open the time entry form.

Fields

Field Required Description
Start / End Time Yes Use the interactive slider or type hours and minutes directly.
Date Yes The date the work was completed. Defaults to today.
Summary Yes A brief label for the entry. Defaults to "Time Entry".
Content Yes Detailed notes about the work done. Auto-populated from the task if blank.
Project Yes The project this time belongs to.
Task No The specific task. If omitted, a task may be created automatically.
Product / Service No The transaction template defining the billing rate.
Assigned To Yes The team member who did the work. Defaults to you.
Billable No Toggle on/off. Defaults to billable.

Time Slider

The interactive time slider lets you drag handles to set your start and end times visually. The background shows your account's configured work hours. You can also type exact hours and minutes into the input fields.


Editing & Deleting

Time entries can be edited in two ways:

  • Inline — Click a time entry row in the table to expand an inline editor with the time slider and fields.
  • Modal — Click the edit (pencil) icon to open a full editing modal.

To delete a time entry, click the delete (trash) icon on the entry row. Deleted entries are removed permanently.


Filtering & Reporting

The time entries page provides filters to narrow down what you see:

Filter Description
Date Range Select a custom range or use presets (today, this week, this month).
Assigned To Filter by one or more team members.
Project Filter by a specific project (dashboard view only).
Billable Toggle to show only billable or non-billable entries.

Results update live without a page reload.

Timeline Visualisation

Each day's entries are displayed on a 24-hour timeline grid. Coloured bars show when work was done, positioned by start and end time. Work hours are highlighted in the background. Entries that cross midnight show a cross-day indicator.


Billing & Rates

Billable Flag

Each time entry has a billable toggle (default: on). Only billable entries are included when calculating billable hours for invoicing.

Transaction Templates (Products / Services)

When you select a Product or Service on a time entry, the billing rate is linked:

  • Unit — Hours or Days
  • Sell Amount — The rate charged to the client
  • Tax — The tax rate applied

The rate is auto-populated from the task's assigned product/service if one exists. You can override it per entry.

Invoice Integration

Unbilled time entries can be imported as line items when creating an invoice. Once imported, they are tracked so they are not billed again.


Task Timer

Tasks have a built-in timer that tracks active work time. When a task is moved to In Progress or In Review, the timer starts automatically. The accumulated timer duration is included in the task's total time spent calculation alongside logged time entries.

Time entries themselves do not have an independent running timer — you set the start and end times when logging.

Key Notes

  • General Users can only manage their own time entries. They cannot see other users' entries or billing rates.
  • Admins and above can view and manage all time entries across the account.
  • Clients and Contractors cannot access time entries.
  • Time entries on locked (archived) projects cannot be created or modified.
